The Intellectual Property Coordinator (IPC) assists in the management of the rights and clearances process, review of production-related IP deliverables and protection of the company’s intellectual property portfolio. The IPC works directly with staff and management in the Business and Legal Affairs group, production-related personnel (both Complex employees and third parties), vendors, services providers and rightsholders to secure and document IP rights in Company content and is also the intake point for trademark search requests, copyright filings, requests for and receipt of takedown notices and other IP-related correspondence.

 

Duties and Responsibilities

  • Work directly with internal production staff and external production companies to track and manage reviews of all IP related assets included in company content.
  • Review all rights clearance and legal paperwork submitted for both internal and external productions - including but not limited to clip/image licensing, music licensing, talent/location/materials agreements etc. – ensuring all media and terms are cleared and deals are properly executed/contain all rights required for each episode. Flag any inconsistencies and/or potential concerns for management and resolution.  
  • Create programming rights database - input and update rights-restrictions, summarize information for distribution team and house/archive all paperwork. Develop and maintain a highly organized tracking report that will capture the status of all pending agreements
  • Evaluate and promptly respond to external clearance inquiries from production companies, as needed.
  • Build and foster good working relationships within the licensing community.
  • Review cuts from Complex Video department weekly shows, flag any IP-related issues for management and resolution.
  • Research rights holders for photo footage and artwork to be included in video series. Negotiate related fees and terms for use. 
  • Provide initial intake for trademark knockout search requests. Generate quarterly reports relating to trademark knockout searches and trademark registrations.
  • Provide initial intake for copyright application requests for series titles and other Network-owned copyrighted works. Maintain records of all filings and relevant submission information. Generate quarterly reports relating to copyrights applications and registrations.
  • Monitor emails from the infringement mailbox reporting incidents of third-party infringement of Network IP to the Senior Counsel, Intellectual Property and taking action as directed, including the preparation and transmission of take down notices.
  • Investigate and respond to incoming takedown requests; track all takedown actions.
  • General administrative assistance - Tracking and maintaining spreadsheets for IP-related invoices and fees, and providing administrative support to the Chief Legal Officer, including scanning, mailings, expense reporting, scheduling and invoice submission
